Viename iš pirmųjų projekto „Development of a Life Cycle System for Youth Volunteering“ partnerių susitikimų įvardijome: abiejų projekto partnerių – LyderiamsLT ir Eesti Evangeelne Allianss, stiprybė ir puoselėjama vertybė – mokymasis ir skatinimas mokytis kitus. Net jei mokaisi iš savo ir kitų klaidų. Šis projektas būtent to ir pareikalavo.
EU projektas – Pirmasis etapas – procesas ir rezultatai
Pokalbiai taip ir liktų pokalbiais, jei ne tikra įžeminanti patirtis. Kokia ji buvo?
Vasaros pradžioje sėkmingai užbaigėme pirmąjį projekto etapą – tiksliai pagal suplanuotas laiko ribas sukūrėme detalų Savanorio gyvavimo ciklo aprašą. Pirmąjį projekto pusmetį reguliariai kartą per dvi savaites susitikdavome peržiūrėti projekto veiklų progreso. Į projekto partnerių susitikimus įtraukėme net ir išorinių paslaugų teikėjus. Žodžiu, projekto proceso vadyba atitiko kone verslo įmonės valdymo principus. Užtat ir gavome norimą rezultatą – laiku ir kokybiškai parengtą savanorio gyvavimo ciklo nevyriausybinėje organizacijoje aprašą.
Ir štai čia truputį snūstelėjome ant laurų…
Prasidėjus antrajam projekto etapui – savanorių savitarnos ir mokymosi platformos kūrimui, vis dar „besimaudydami“ pirmojo etapo sėkmės spinduliuose, atsipalaidavome: „Juk taip puikiai viskas einasi…“, „Gal nereikia susitikimo, juk ir taip visi komandos nariai žino ką ir kada daryti…?“ Tačiau likus 1,5 mėnesiui iki antrojo projekto etapo pabaigos priėjome tašką, kuriame beliko pažvelgti tiesai į akis: atliktų darbų – beveik nulis, o tolesnis projekto progresas neįmanomas nepakeitus projekto vadybos principų.
Supratome, jog „savaime suprantamų“ dalykų nėra, o sėkmė lydi tada, kai ją pamaitini įdedamu laiku ir energija darbams atlikti. Kiekvienam projektui – nepriklausomai, kokios apimties ir trukmės jis bebūtų, reikalinga nuosekli priežiūra, aiškiai įvardintos projekto dalyvių atsakomybės, kurios gali keistis sulig skirtingais projekto etapais. Tad atsakomybes reikia sutarti iš naujo perėjus į kitą projekto etapą ir pasitikrinti, ar visi vienodai supranta terminus bei kokybės reikalavimus.
Vis dėlto gera buvo pajusti projekto komandos stiprybę ir vieningumą. „Karštoje“ situacijoje įvyko „komandos energijos perkrovimas“ ir atlikome su dvigubu užsidegimu per mėnesį tai, ką turėjome padaryti per penkis. Be abejo, „sumokėjome“ atitinkamą kainą – didesnis nei įprastas streso lygis bei keliolika valandų vakarinio darbo vietoje poilsio.
Mokomės iš sėkmės ir klaidų
Sutartinai judame į priekį pakartodami tai, ką sakėme pradžioje projekto: organizacijų-partnerių stiprybė ir puoselėjama vertybė – mokymasis ir skatinimas mokytis kitus. Net jei tenka mokytis iš savo klaidų.
Ir mes sulig naujaisiais metais įžengiame į trečiąjį projekto etapą. Šiam jau pradėjome ruoštis iš anksto. Bus įdomu, nes šio etapo veiklose pakviesime prisijungti Lietuvos, Estijos bei kitų ES šalių nevyriausybines organizacijas. Sekite mus – grįšime su naujienomis!

Our fail (or success?) story.
During one of the first project „Development of a Life Cycle System for Youth Volunteering“ partner meetings we agreed: both organisations – LyderiamsLT and EestiEvangeelneAllianss, has common strengths and organisational values – continuous lerning and support in learning for others. Even if learning comes from the mistakes experience.
First stage – process and results
Agreement had a potential to dissolve in the air but the grounding experience came up. What was it in particular?
By the beginning of the summer we have successfully finished the 1st phase of the project – exactly according to the planned time-line we have prepared a detailed Volunteer Life Cycle Model and it‘s description. During all six months we had regular project team meetings every 2 weeks. Even external experts were asked to participate and fully involved in the project process. All in all the project management satisfied the criteria set for business management. That‘s why we believe we have reached the desired outcome – a standard Volunteer Life Cycle Model for NGO environment prepared in time and of the best quality.
But… as we entered the 2nd phase of the project
Development of the Volunteer Life Cycle Platform, we have to admit, felt like having opportunity to rest on our laurels for a while: „Just relax, everything is going on exceptionally well…“, „Maybe we do not need any meeting – everyone nows exactly what each has to do…“, etc. And finally we have reached the breaking point realizing that there have left just 1,5 month till the end of the 2nd phase and we have no progress and no outcome. We admitted the truth – if we are not changing the process there were no tangible results.
We realized that common understanding as such is not existing and the success comes just after time and energy is invested in the matter. Every project – does not matter it‘s scope and duration, requires consistent careful management and clearly stated project participants responsibilities (the latter can shift depending on different project phase and actual activities). Therefore the responsibilities must be negotiated and agreed in every new phase of the project and it‘s a must to check everyone‘s understanding of terms and quality requirements.
Afterall the project team unity and inner strength were encouraging. The team restart happened in the hot situation and we made the progress with a double energy: we have done the job in one month that actually we were supposed to do it in five. Naturally, we have paid some extra cost: higher stress level if compared to the normal pace of the project and several extra working hours after regular working time. But it was worth it!
Learning from our successes and mistakes
So, we are moving forward keeping in mind what was agreed in the very beginning of the project: our common strengths and organizational values are continuous learning and support in learning for others. Even if learning comes from the mistakes experience.
This year January we are entering the 3rd phase of the project. It will be different and interesting – we will ask others NGOs from Lithuania, Estonia and other EU countries to join for some activities to test what we have done untill now. Follow us – we will come back with news and stories of our sucess, fails and learning!
